This document describes the details about the Product Flags feature that exists within the TOTECS platform. Product flags allow administrator users to place flags against products to highlight the products, and give them extra importance, meaning, or advertising to users viewing the products.

Overview

For each TOTECS project there is the ability for administrator users to create any number of product flag types. A product flag type itself is a way of marking a product and displaying an icon with it, giving extra meaning, importance, or advertising appeal to a product. A product flag type can be assigned to any number of products, and a product can be assigned to any number of product flag types.

A typically example of a product flag type would be a flag labelled "On Special". Products can be assigned to the "On Special" flag to highlight that the product's pricing has been reduced, or is below a normal retail price. When a user sees this flag with the product in search listings it can cause the user to want to view more details about the product, and ideally purchase it.

Typical examples of product flag names are:
New: Denotes that a product has just made available for purchase
Environmentally Friendly: Denotes that a product has minimal impact on the environment when being manufactured
On Special: Denotes that the price of the product has been reduced
Discounted: Denotes that the price of hte product has been reduced
Reduced To Clear: "Denotes that the price of the product has been reduced in order to clear it out of warehouses"
Discontinued: Denotes that there is no more stock of the product once all stock has been sold
Important: Denotes that the product is of extra importance.
On Contract: Denotes that the product is on a contract applicable to the user's customer account.

Its up to each administrator user to determine the best name for a product flag, based on the purpose of using the flag. On the home page within the Trade interface there is the ability to display products assigned to each different flag type. Additionally on a content managed webpage there is the abllity to set up areas that can be display products assigned to a given flag type. This can be very powerful since it provides a way for administrator users to change the products that display in these places by only needing to assign or unassign a flag from a number of products, as opposed to requiring the skills to modify the web pages themselves.

Product Flag Images

Each product flag type can have an image uploaded against it. This image will be resized into 2 different sizes "small", and "large". When a flag displays with a product one of its image sizes can display with the product, making the product stand out visually to users. Additionally the flag image will contain a title with the flag's name that allows web page screen readers to also find the flag associated to the product.

Customer Account Contract Product Flags

Product flag types can also be assigned to individual customer account contracts. This allows all products assigned to a contract to be displayed with the assigned flags. Only users who are assigned to a customer account applicable to the contract will see its flags on the products. In effect this allows chosen users to be notified of products that are on contract, and that have special importance. An example of this is assigning an "On Contract" flag type to a contract that only 2 users can view. When the users search through product listings they will be able to know that the products are on contract and are of extra importance.

Import Product Flag Mappings From External Business Systems

The TOTECS platform supports importing mappings between product flag types and products through the Connector Data Import. Using the Connector software it has the ability to import product flag mapping data from external business systems and data sources, such as CSV spreadsheet files, and relational databases. This means that products could be mapped to flags in an external business system, them imported into a TOTECS project using the Connector software, or directly using the platform's Data API.

By being able to manage the data in the one business system can make easier for administrators and non web users to control the data in one location, that these users are familiar with. This does depend on the business system or data source having the concept of flags and being able to assign them to products.

Product Flags Administration Centre Interface

Within the Administration Centre of a TOTECS project, under the Inventory menu there is a menu item labelled Product Flag Types that takes administrator users to the Product Flag Types interface. Within the interface administrator users can view all of the flag types that exist for the project, as well as create new flag types and upload flag images.

Create A New Product Flag Type

For administrator users to create a new product flag type follow these steps:

  1. Open a web browser and go to the Administration Centre for the relevant TOTECS project.
  2. Click on the Inventory menu button.
  3. Click on the Product Flag Types menu link.
  4. Click on the Add button.
  5. In the Flag Name textbox type the name of the flag.
  6. Click on the Save button.

The product flag type will have a row added to the flag types table and be saved to the server.

Modify The Name Of An Existing Product Flag Type

For administrator users to modify the name of an existing product flag type follow these steps:

  1. Open a web browser and go to the Administration Centre for the relevant TOTECS project.
  2. Click on the Inventory menu button.
  3. Click on the Product Flag Types menu link.
  4. In the flag types table click on the name of the flag type that you wish to modify.
  5. In the flag name editor type the name of the flag to update.
  6. Click on the Save button.

The name of the product flag type will be updated in the data table and saved to the server. Additionally any locations in the Trade interface, Administration Centre, and content managed websites displaying the flag type will now be updated when a user next loads a webpage containing it.

Remove A Product Flag Type

For administrator users to permanently delete an existing product flag type follow these steps:

  1. Open a web browser and go to the Administration Centre for the relevant TOTECS project.
  2. Click on the Inventory menu button.
  3. Click on the Product Flag Types menu link.
  4. Right click on the table row containing the product flag type to be deleted.
  5. Click on the Delete menu item in the context menu.
  6. In the Confirm dialog click on the Yes button.

The product flag type will be removed from the product flag types table, as well as from any products assigned to it. Be sure that you wish to remove the flag since following these steps will permanently delete the flag and its product mappings.

Upload An Icon Image For A Product Flag Type

For administrator users to upload an icon image file for a product flag type follow these steps:

  1. Open a web browser and go to the Administration Centre for the relevant TOTECS project.
  2. Click on the Inventory menu button.
  3. Click on the Product Flag Types menu link.
  4. Click on the Icons link.
  5. Click on the Choose File button. Locate and select an image file on your computer that will be used as the icon. Ensure that the image file is either a GIF, PNG, or JPG image.
  6. Click on the Add button. The image will be uploaded to the server and display in the Product Flag Icons table.
  7. Click on the Product Flags link.
  8. In the Product Flag Types table, click on the filename column in the row that you wish to set the flag icon for.
  9. In the drop down select the filename of the product flag icon you uploaded in step 6.

?The product flag type with now have its icons set to the icon image you uploaded. Any location within the Trade interface, and content managed website where the product flag type displays will now load the new icon set for the product flag type. 

Note: You can assign the same product flag icon to different product flag types. Also note that the size and scaling of the product flag icons is controlled with settings available from the Administration Centre's Inventory menu, under the Images settings interface.

Product Editor Administration Centre Interface

Within the Administration Centre of a TOTECS project, under the Inventory menu there is a menu item labelled Product Editor that takes administrator users to the Product Editor interface. Within the interface administrator users can find, create and update details of products, including the ability to assign and un-assign products from product flag types, as well as set the ordering of product flag types assigned to products.

Assign A Product Flag Type To A Product

For administrator users to assign a product flag type to a product follow these steps:

  1. Open a web browser and go to the Administration Centre for the relevant TOTECS project.
  2. Click on the Inventory menu button.
  3. Click on the Product Editor menu link.
  4. In the Product Code text box type a unqiue code for the product.
  5. Click on the Flags tab.
  6. In the Flag Types table click on the Flagged column of the flag type that you wish to assign to the product.
  7. In the table cell editor click on the Y radio button.Y is short for Yes.
  8. Click on the Save button.
  9. Repeat steps 6 to 8 for each product flag type that you wish to assign to the product.

The product flag types will be assigned to the product and when the product displays in the Trade interface and content managed websites it may show the flags assigned to it, if the interfaces are configured to do so.

Un-assign A Product Flag Type From A Product

For administrator users to un-assign a product flag type to a product follow these steps:

  1. Open a web browser and go to the Administration Centre for the relevant TOTECS project.
  2. Click on the Inventory menu button.
  3. Click on the Product Editor menu link.
  4. In the Product Code text box type a unqiue code for the product.
  5. Click on the Flags tab.
  6. In the Flag Types table click on the Flagged column of the flag type that you wish to un-assign from the product.
  7. In the table cell editor click on the N radio button.N is short for No.
  8. Click on the Save button.
  9. Repeat steps 6 to 8 for each product flag type that you wish to un-assign from the product.

The product flag types will be un-assigned to the product and when the product displays in the Trade interface and content managed websites it may no longer show the flags assigned to it, if the interfaces are configured to do so.

Customer Account Contract Flags Administration Centre Interface

Within the Administration Centre of a TOTECS project, under the Users menu there is a menu item labelled Customer Account Contract Flags that takes administrator users to the Customer Account Contract Flags interface. Within the interface administrator users can assign product flag types to customer account contracts, as well as un-assign product flag types from customer account contracts.

Assign A Product Flag Type To A Customer Account Contract

For administrator users to assign a product flag type to a customer account contract follow these steps:

  1. Open a web browser and go to the Administration Centre for the relevant TOTECS project.
  2. Click on the Users menu button.
  3. Click on the Customer Account Contract Flags menu link.
  4. In the Contract Product Flags table click on the table row containing the contract to assign product flag types to.
  5. In the Choose Flag drop down select the product flag type to assign to the contract.
  6. Click on the Assign Flag To Selected Contracts button.

The product flag type will be assigned to the selected contract. If you select multiple contract rows then the flag type will be assigned to all the selected contracts.

Un-assign A Product Flag Type From A Customer Account Contract

For administrator users to un-assign a product flag type from a customer account contract follow these steps:

  1. Open a web browser and go to the Administration Centre for the relevant TOTECS project.
  2. Click on the Users menu button.
  3. Click on the Customer Account Contract Flags menu link.
  4. In the Contract Product Flags table click on the table row containing the contract to un-assign the product flag type from.
  5. In the Choose Flag drop down select the product flag type to un-assign from the contract.
  6. Click on the Unassign Flag button.

The product flag type will be un-assigned from the selected contract. If you select multiple contract rows then the flag type will be un-assigned from all the selected contracts.

Dependent Configurations

  • For administrator users to be able to access the Product Flag Types and Product Editor Administration Centre interface they must be assigned to an Admin Permission Role that has the "Inventory" permission set to Allow.
  • For administrator users to be able to access the Customer Account Contract Flags Administration Centre interface they must be assigned to an Admin Permission Role that has the "Contract Manager" permission set to Allow.
  • When product flag type icon images are uploaded the images will be resized based on the settings available within the the Administration Centre's Inventory menu, in the Images settings interface, under the Product Flag Icon Image Settings heading.
  • The Product Flag Types sections that display on the Home page of the Trade interface can be controlled via the setting located in the Administration Centre, under the Inventory menu, in the Products settings interface, under the Trade Home Page section, with the setting labelled "Product Flags Excluded From Showing". Tick the Product Flag Types that you do not wish to show on the Trade interface, then press the Save button.

Recommendations

  • Use Product Flags in conjunction with marketing or promotional campaigns to highlight products are are a part of the promotion.
  • On content managed web pages Product Search Results Listing areas can be configured to show products assigned to a selected product flag type. This allows similar functionality to the Trade interface where a list of products can be easily updated and changed based on the products being assigned or un-assigned from given product flag types. Typically such areas would be displayed in a prominent website location such as on a home page or "Latest Specials" web page.
